Where do deals stall in our pipeline?

Reading your Pipedrive data…

Deals stall at “proposal sent”: they wait 19 days there on average.

  • Deals with a follow-up call within 3 days close twice as often.
  • Half of all lost deals were lost at this stage.
  • Deals over $10k wait the longest.

Average days in each stage

How I got this· 4 steps
  1. Looked at your Pipedrive deals and stage changes
  2. Measured how long deals sat in each stage
  3. Checked which stages lost the most deals
  4. Compared deals with and without a quick follow-up

In plain words

How can I see where deals stall in Pipedrive?

Pipedrive shows your pipeline as it is today. Where deals get stuck needs their history. Fivetran copies your deals, every stage change and your activities into a database Orcabase hosts for you.

Ask “how long do deals sit in each stage?” and get the answer with a chart, and what the fast deals do differently.

Ask in plain words

What you can ask about your Pipedrive data

The agent answers with the number, a chart and the steps it took. Keep the good answers on a dashboard.

  • Where do deals stall?

  • What’s our win rate this quarter?

  • Which activities lead to won deals?

  • What’s our open pipeline worth, weighted by stage?

  • Which deals have had no activity in two weeks?

  • How long does a deal take from first call to won?

  • Which sources bring the biggest deals?

  • Show me deals won and lost by month.

Numbers worth defining

Define them once. Every answer agrees.

Tell Orcabase what each number means, certify it, and your dashboards, the agent and your whole team use the same one. The agent can draft these from your Pipedrive data.

How metrics work

  • Win rate

Deals won divided by deals closed.

  • Weighted pipeline

Open deal values multiplied by their stage’s chance of winning.

  • Time in stage

Average days a deal spends in each stage.

  • Activities per won deal

Calls, meetings and emails logged for each won deal.

About dashboards

How to connect

Connect Pipedrive, step by step.

  1. 1

    Find it in Sync data

In Orcabase, go to Sync data → Add source and search for Pipedrive. Pick the database to sync into.

  2. 2

    Connect Pipedrive on Fivetran’s page

Fivetran’s page asks you to sign in to Pipedrive, or for an API key. Your login goes to Fivetran, never to Orcabase.

  3. 3

    Choose what to sync

Back in Orcabase, tick the data you want. Only what you pick is synced, and only it counts toward your allowance.

  4. 4

    Ask away

The first sync starts straight away. When it’s done, ask the agent about your Pipedrive data.

What you’ll need

  • A Pipedrive login with access to the deals you want to sync.

Questions

About Pipedrive and Orcabase

More in the docs: Sync apps with Fivetran

Does it include custom fields?
Yes. Custom fields on deals, people and organizations come along with everything else.
Can Orcabase change deals?
No. Orcabase only reads the synced copy.
Do I need a Fivetran account?
No. Orcabase uses its own. You sign in to Pipedrive on Fivetran’s page, and the data lands in a database Orcabase hosts for you, so there’s nothing else to set up or pay Fivetran for.
How fresh is my Pipedrive data in Orcabase?
Fivetran syncs it every 6 hours as standard, and an admin can run a sync by hand at any time. The page for each source shows when it last synced and when it syncs next.
What does syncing cost?
Counts toward your monthly sync allowance: 500,000 changed rows a month, as standard. Each distinct row that’s added or changed in a month counts once, however often it changes, and the first full copy is free. You choose which tables sync, so you only spend the allowance on what you need.
